2. The data we collect about you
Personal data, or personal information, means any information about an individual from which that person can be identified. We may collect, use, store and transfer different kinds of personal data about you which we have grouped together as follows:
Identity Data: Includes first name, last name, maiden name, username or similar identifier, marital status, and title.
Contact Data: Includes billing address, home address, email address, and telephone numbers.
Event Data: Includes the date of your wedding, venue locations, schedule of the day, and details of other suppliers.
Visual Data: Includes video footage, audio recordings, and photographs of you, your family, and your guests captured during the wedding day.
Financial Data: Includes bank account and payment card details (if you pay us directly).
Transaction Data: Includes details about payments to and from you and other details of services you have purchased from us.
Technical Data: Includes internet protocol (IP) address, browser type and version, time zone setting and location, and other technology on the devices you use to access this website.
3. How your personal data is collected
We use different methods to collect data from and about you, including through:
Direct interactions: You may give us your Identity, Contact, and Event Data by filling in forms on our website or by corresponding with us by post, phone, email, or otherwise.
During the event: We will capture Visual Data on the day of your wedding.
Third parties: We may receive Event and Contact Data from third parties such as your wedding planner, the venue, or other suppliers if they are coordinating on your behalf.
Automated technologies: As you interact with our website, we may automatically collect Technical Data about your equipment, browsing actions, and patterns using cookies and similar technologies.
4. How we use your personal data
We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:
Performance of a Contract: Where we need to perform the contract we are about to enter into or have entered into with you (e.g., to film your wedding, edit the footage, and deliver the final films).
Legitimate Interests: Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests. This includes capturing guests in the background of your wedding video and using footage for our portfolio or marketing, provided we have the appropriate permissions.
Legal Obligation: Where we need to comply with a legal obligation (such as keeping accounting records).
Special note on Visual Data (Guest Footage)
Given the nature of wedding videography, we will inevitably capture video and audio of wedding guests. This is processed under our legitimate interest to fulfil our contractual obligations to the couple. If any guest wishes not to be filmed, they or the couple should notify us prior to or on the day of the event, and we will make every reasonable effort to exclude them from the final films.
5. Disclosures of your personal data
We may share your personal data with the parties set out below for the purposes outlined in section 4:
Service Providers: Acting as processors who provide IT and system administration services, including cloud storage platforms (such as Dropbox, Google Drive, or Vimeo) used to store footage and deliver your final films.
Freelance Contractors: Such as second shooters or freelance video editors who work under our direct instruction and are bound by confidentiality agreements.
Professional Advisers: Including lawyers, bankers, auditors, and insurers who provide consultancy, banking, legal, insurance, and accounting services.
We require all third parties to respect the security of your personal data and to treat it in accordance with the law.
6. Data security
We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used, or accessed in an unauthorised way, altered, or disclosed. This includes keeping physical backups of video footage on encrypted or secure hard drives and restricting access to your personal data to those employees, agents, and contractors who have a business need to know.
7. Data retention
We will only retain your personal data for as long as reasonably necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, regulatory, tax, accounting, or reporting requirements.
Raw Footage: We retain raw, unedited video footage for 2 years after the final films have been delivered to you. After this period, raw footage can be permanently deleted.
Final Films: We retain the final edited films for 3 years as a backup service, after which we cannot guarantee we will hold a copy of your film.
Client Records: By law we have to keep basic information about our customers (including Contact, Identity, Financial, and Transaction Data) for six years after they cease being customers for tax purposes.
